Cameley Playing Field Charity: Minutes of the Annual Meeting held at 19:15 hours on Wednesday 12th June 2019, Temple Cloud Village Hall

CAMELEY PLAYING FIELD CHARITY

Charity no: 304504


Temple Cloud with Cameley Parish Council is the corporate body that acts as trustees to Cameley Playing Field and holds Cameley Playing Field in Trust (the charity no 304504). The annual meeting of the Charity Trustees took place prior to the June Parish Council Meeting at Temple Cloud Village Hall.

PRESENT:                                        

Sara Box, Tony Hooper (Chairman), Ann Morgan, Helen Neary, Annemarie Sage, Jon Sebright (Vice Chairman), Philip Warden and Alyson Worthington.

ALSO IN ATTENDANCE:                 

PC Stuart Peard, Jenny Howell (Clerk) and five members of the public.

CPF 1/19-20. APOLOGIES FOR ABSENCE

There were none.

CPF 2/19-20. DECLARATION OF INTEREST

There were none.

CPF 3/19-20. CONFIRMATION OF MINUTES

RESOLVED: That the minutes of the Charity Trust Meeting held on 9th May 2018 were approved as a true record and signed by the Chairman.

CPF 4/19-20. CHAIRMAN’S REVIEW OF ANNUAL BUSINESS

Trustees noted the income and expenditure or the 2018/19 financial year. There was £0 income and expenditure was met by Temple Cloud with Cameley Parish Council.

RESOLVED
i.                  That Cameley Playing Field Charity ‘transfer’ future income generated by the hire of Cameley Playing Field (to include the sports pavilion) to trustee Temple Cloud with Cameley Parish Council.
ii.                 To continue the standing resolution that expenditure for maintenance of Cameley Playing Field (to include the sports pavilion) is met by Temple Cloud with Cameley Parish Council at the monthly Parish Council Meeting.

Trustees noted and considered that Cameley Playing Field does not operate a separate bank account for the Charity. There was no other trustee business raised.

CPF 5/19-20. GOVERNANCE & DOCUMENTATION

The governance and documentation was reviewed and original governing document – 1957 Trust Deed considered fit for purpose.  

CPF 6/19-20. CAMELEY PLAYING FIELD HIRE RATES

Hire rates for use of the Playing Field were agreed at £5 per hour for business related activities. There is no charge for not for profit groups using the Playing Field.  

CPF 7/19-20. NEXT MEETING

The next Annual Meeting of Cameley Playing Field Charity will take place at 7.15pm on Wednesday 10th June 2020. 

There being no further business, the Chairman closed the meeting.
